The Starting Point: Moving Beyond Google's People+AI Guidebook Our journey began with Google's People+AI Guidebook, a valuable resource for designing AI-driven user experiences. While it offers robust guidelines for business-to-consumer(B2C) AI applications, its meant for everyday low-complexity use cases (like chatbots, voice agents or recommendation engines) for non-technical users with a strong focus on simplifying AI interactions which doesn’t fully align with the needs of enterprise AI solutions where use cases are complex and users are equally technically adept.
Enterprise AI operates in a performance-critical, data-heavy landscape. It serves users like financial analysts, supply chain managers, or healthcare administrators who demand efficient AI workflows that augment their expertise and technical knowledge of the current advanced software within their respective domains.
Recognizing this gap, we developed Zen Design as a UX philosophy for enterprise AI, focusing on collaboration, transparency, and agency to support high-performance work
Understanding the Enterprise User: Embracing Complexity The foundation of Zen Design lies within our deep understanding of the enterprise user. These users—whether specialists like data scientists or generalists like operations managers—excel at interpreting complex datasets and navigating domain-specific systems. Unlike B2C users, who may shy away from intricate interfaces, enterprise users value transparency in AI systems and fine-grained control over operations.
This insight shaped our AI UX design strategy. Instead of hiding the complexity of AI, we embraced it, creating interfaces that expose data flows, model parameters, and agent behaviors. For example, within our procurement spend analysis agent, in one feature that helps users use AI to cluster expenses, users can adjust variables like model choice, embedding sizes, confidence thresholds & data weights, ensuring they get multiple output options and can choose the ones that aligns with their goals. By designing for users comfortable with complexity, Zen Design delivers enterprise AI solutions that empower rather than simplify, fostering trust, control, collaboration and precision in AI-driven decision-making.
Design for Efficiency: The Pillars of Zen Design Zen Design is built on a multi-pillar framework centered on "Design for Efficiency". The idea was clear, shift the focus from “simplicity” (in the case of B2C AI interactions) to “efficiency” (in the enterprise workplace use cases), optimizing AI workflow efficiency while maintaining clarity and control. Below, I explain the five pillars, enriched with practical examples highlighting their impact on enterprise AI UX.
1. Anchor on Familiarity Novel UI metaphors can showcase AI’s “magic,” but unfamiliar interfaces increase the learning curve for enterprise users juggling multiple tools. Zen Design prioritizes domain-specific familiar UI patterns to reduce cognitive overhead and accelerate adoption of enterprise AI solutions. For instance, in a supply chain AI platform, we use table-based layouts and filtering mechanisms inspired by enterprise resource planning (ERP) systems. These familiar touch points allow users to focus on leveraging AI-driven insights, such as inventory optimization, without learning new interfaces. Similarly, drag-and-drop workflows, common in tools like Jira, enable seamless customization in our AI UX design. By aligning with existing mental models, Zen Design ensures efficient AI workflows and rapid onboarding.
2. Human in the Loop Zen Design champions human-in-the-loop AI, rejecting fully autonomous systems in favor of collaborative partnerships. Enterprise users operate in high-stakes contexts like procurement to the tune of millions of dollars. Our AI UX design enables users to input constraints and context upfront, ensuring outputs align with specific objectives, and also take user’s review and approval for AI generated results before proceeding with acting on them.
For instance, for an invoice data extractor tool, instead of directly uploading extracted contents to the enterprise’s ERP systems, the contents are shown to users for review/approval so any minor errors can be fixed. The updates users make also add back as feedback to the system and help improve the AI in the longer run. This human-in-the-loop AI approach ensures that enterprise AI solutions adapt to users’ expertise, enhancing trust and delivering contextually relevant results
3. Standardize for Learnability Enterprise environments will often involve multiple AI agents, each serving distinct functions—inventory management, customer analytics, or predictive maintenance. Without standardization, users face friction when switching between agents. Zen Design addresses this with certain high-level standardizations in it’s AI UX framework, minimizing cognitive load and enhancing AI workflow efficiency. We developed an expansive and flexible AI pattern that works across multiple media formats (text, vidio, image, audio, spreadsheets, code, etc.) and a consistent design language with shared components (e.g., buttons, charts) and interaction patterns (e.g., uniform navigation flows). For example, whether interacting with an AI agent that helps you generate and work on spreadsheets, or an AI agent that helps you iterate code, you always know how to trigger AI inputs and see results. This consistency reduces the learning curve, enabling users to master multiple enterprise AI solutions quickly and confidently.
4. Modularity, Not Homogeneity While standardization is key, enterprise AI demands contextual relevance. A generic UX risks sacrificing the tailored efficiency of domain-specific tools. Zen Design embraces a modular UX architecture, balancing consistency with customization.
we designed Zen Design as a collection of modular UX templates. These templates enable rapid deployment of AI agents while tailoring interfaces to specific use cases. For instance, a manufacturing AI might include defect detection visualizations, while a marketing AI prioritizes sentiment analysis dashboards. This modular AI UX ensures enterprise AI solutions are both standardized and contextually efficient, avoiding the pitfalls of homogeneity.
5. AIs & Humans Are Both Complex—Help Them Understand Each Other Effective AI-human collaboration requires mutual understanding. Enterprise users need to trust AI systems, comprehend their capabilities, and provide feedback to refine performance. Zen Design facilitates this through features that enhance transparency in AI systems:
Plain-language explanations: We describe AI agent capabilities clearly. For example, a predictive maintenance AI might state, “This model prioritizes alerts for equipment with a failure probability above 80% based on sensor data.”
Confidence indicators: To calibrate trust, we display scores alongside outputs. A fraud detection AI might flag a transaction with a 95% confidence score, signaling reliability.
Feedback loops: Users can refine AI agent behavior by correcting misclassifications or adjusting priorities, ensuring continuous improvement.
These features make enterprise AI solutions understandable and trustworthy, fostering effective AI-human collaboration and driving adoption.
